Position Summary: As a member of The Stewart Group team, you will focus on providing personal support to the President as well as managing the day-to-day administrative operations of the firm.

This is a full-time position starting in August 2024. The position reports to the President of the Stewart Group and is responsible for the following tasks: Organizes, coordinates and maintains all administrative functions in support of the President Proactive management of the calendar, including prioritizing projects, scheduling meetings and coordinating with internal and external stakeholders Manages all travel arrangements including itinerary development, flight and hotel bookings and conference registration Review, prioritize and action all incoming electronic and paper correspondence and mail, including the development of responses in clear, simple and efficient manner Management of CEO timesheet entries and coordination with team to ensure proper resource allocation Responsible for the monthly reconciliation of the corporate credit card expenses Gathers, coordinates and prepares the necessary information, materials and resources for meetings and events Manage corporate records and all office facilities (e.g. telephone, cable, Internet, security access cards, lease renewals, insurance renewals, etc.), petty cash, etc. Supports client engagement and organizes client and staff functions and events Qualifications: 2-4 years administrative experience Bachelor’s degree or equivalent Exceptional organization skills and attention to detail Ability to work to tight timelines and manage multiple and competing priorities Effective business writing skills in formatting and producing critical communications pieces Ability to work independently and coordinate work by others Strong interpersonal skills and client relationship management and abilities Familiarity with transit infrastructure or related industries is a plus Salary range: $50,000 to $60,000 Benefits: Health and dental benefits Monthly phone per diem Brand new Yaletown office (right next to Yaletown-Roundhouse station) Note: We are also interested in hiring outstanding recent grads who might not have much work experience yet, but will make up for it in their hard work and skills developed from university.
