Program Manager

Alberta Recycling Management Authority (ARMA) is a not-for-profit organization incorporated under the Societies Act with over 30 years as a leader in environmental stewardship and we are looking for a Program Manager to join our growing team and advance our vision of Inspiring a Future Without Waste. The Program Manager will report to the Director, Stewardship Programs and will be responsible for managing the administration and day to day operations of ARMA’s Stewardship Program. This includes but is not limited to the supervision of Program Administrators (PA’s), reviewing monthly and quarterly claims, analyzing, and reporting on program performance metrics, and contributing to special projects.

Leadership Support Provide support to the Director, Stewardship Programs for day-to-day operations and special projects. Contribute to the development of key performance metrics for the Program Administration Team. Track KPIs and priorities and monitor the progress of relevant programs and projects.

Prepare reports, develop queries, and use data analysis to support leadership in making informed and strategic decisions. Work with the division leadership to identify areas for process optimization and efficiency, recommend process improvements, and assist in their implementation. Complete the initial review of claim submissions.

Timely preparation and coordination of reporting and correspondence related to assigned programs. Supervision and Guidance Provide supervision and guidance to PA’s. Advise PA’s with navigating complex issues while ensuring a professional level of service.

Create documents, internal training material, presentations, and complete reporting on program operations. Facilitate, foster, and encourage cross-training and provide coverage for PA’s to manage temporary workload constraints and absences. Ensure files are maintained in the central and electronic system according to the organization’s records management policy.

Perform other general administrative duties in support of the operations team as required. Coordination and Projects Coordinate the approval process for funding claims reviews generated by Program Administrators. Support the development of meeting material for stakeholder, Board and Industry Council meetings.

Manage special projects including project planning, status updates, meetings, reporting, communications assistance, and engagement of internal and external resources as appropriate to meet deliverables. Other Duties Maintain an understanding of and adhere to Alberta Recycling policies, procedures, and standards. Contribute to a positive and safe culture by modeling organizational values.

Perform other job-related duties and assists other team members as required. Experience and Competencies Post-secondary degree, or equivalent, in business or administration discipline. PMP Certification (commenced training or completion) Skilled in using Office 365 applications, especially Excel, and able to become familiar with firm-specific programs and software, such as Salesforce, is mandatory.

Proven analytical abilities, including translating data into actionable insights, and experience with Power BI and other data analytic software. Minimum of five years in a business administration and analysis role. The equivalent combination of education and experience may be acceptable.

Proven ability to manage projects and supervise staff. Well-developed organizational skills and exceptional attention to detail. Excellent time management and problem-solving skills.

Highly productive and flexible in adapting to changing priorities. Effective communicator with strong interpersonal skills and commitment to achieving results.
