The role of a Workplace Coordinator is dedicated to cultivating an exceptional working environment for all members of the organization. By providing comprehensive support services for the office and promoting the best-in-class atmosphere, the Workplace Coordinator ensures that every employee can thrive. This is an onsite opportunity which requires offers a 40-hour week, with flexibility in scheduling. There may be occasional evening or weekend requirements depending on the needs of the job.

Responsibilities:

  • Ensure the workplace is clean, organized, and ready for use. Regularly check and maintain the spaces to keep them in top condition.
  • Handle and resolve office-related questions and problems efficiently.
  • Create a great experience for everyone, including employees, new hires, visitors, and guests.
  • Order and restock food, snacks, and office supplies as needed.
  • Work closely with teams like AV/IT, Security, and property management to ensure smooth operations.
  • Stay connected to the business to understand how providing a great workplace impacts the team.
  • Track and manage reports, metrics, and documentation on SharePoint.
  • Support the team by documenting processes, suggesting improvements, and identifying workflow issues.
  • Communicate with vendors to ensure good service and maintain strong relationships.
  • Use the workplace ticketing system to handle service requests, repairs, and maintenance needs efficiently. Close tickets promptly after completing the work.
  • Quickly troubleshoot and resolve issues, coordinating with outside vendors when necessary.

Minimum Qualifications:


  • At least 3 years of experience in workplace management, facilities, or hospitality.
  • Knowledge of building control systems, environmental systems, workplace technology, and audio/visual is a plus.
  • Experience managing vendors and implementing corporate safety programs.
  • Strong communication skills and proficiency with Microsoft Office applications.
  • Friendly, energetic, and professional customer service attitude.
  • Flexible, and able to handle multiple tasks effectively.
  • Organized, able to prioritize tasks, and detail-oriented.
  • Self-motivated, eager to learn, and able to manage workload independently.
  • Able to collaborate with other departments in the company.
