Altis Recruitment is grateful to partner with an organization within the Broader Public Sector to support the recruitment of an Administrative Assistant. This opportunity is a 1 month contract that will work in a hybrid capacity out of their DT Vancouver office. The role involves handling a variety of clerical tasks, maintaining communication channels, and organizing key documents and schedules. The ideal candidate will have strong multitasking abilities, excellent communication skills, and proficiency in office software applications.
Work Schedule:
7.5 hours daily
8:00 a.m. – 4:00 p.m.
Key Duties:
- Deliver administrative support by preparing, editing, and managing documents, correspondence, filing systems, and maintaining inventories.
- Oversee the scheduling of the unit or department, including screening emails, managing priorities, and responding to inquiries.
- Plan and organize meetings, conferences, and workshops, including drafting agendas, preparing materials, and recording meeting minutes.
- Use various software applications to generate reports, manage databases, and organize contact information.
- Conduct research and compile necessary data to support unit initiatives and communication needs.
- Manage documentation systems, ensuring files are properly organized and easy to retrieve, particularly in platforms like SharePoint.
Required Skills & Experience:
- Excellent communication skills, both written and verbal.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Ability to research, analyze, and summarize information.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Comfortable working independently as well as part of a team.
- Experience in using data entry systems and automated tools.
- Familiarity with email and calendar management software (e.g., Outlook).
- Knowledge of document and file management platforms (e.g., SharePoint).
