We are currently seeking a reliable and customer-oriented individual to join our team as an administrative assistant working the front desk in the collision center office. As the first point of contact for our valued customers, you will play a crucial role in delivering exceptional customer service and ensuring smooth operations at our facility. This position requires excellent communication skills, attention to detail, and the ability to handle multiple tasks simultaneously.

Responsibilities of the Administrative Assistant

  • Greet visitors and welcome customers as they arrive at our repair facility with a friendly and professional demeanor.
  • Provide excellent customer service by answering inquiries, addressing concerns, updating repair process and providing accurate information regarding our services via phone and email.
  • Manage incoming phone calls, screen, take messages or forward calls to the appropriate departments or individuals.
  • Schedule estimates and repairs and coordinate with Shop Manager to ensure efficient workflow.
  • Maintain an organized and tidy reception area, ensuring a welcoming atmosphere for customers.
  • Assist customers in completing necessary paperwork, including insurance forms and authorization documents.
  • Collaborate with the Shop Manager to ensure a smooth and timely repair process for customers' vehicles.
  • Handle customer complaints or issues in a professional and empathetic manner, striving for effective resolution.
  • Perform general administrative duties such as data entry, filing, and maintaining records accurately to ensure easy retrieval of information.
  • Manage office supplies inventory and place orders as needed.
  • Adhere to all company policies, procedures, and safety guidelines.
  • Job costing repairs by receive parts invoices and credits as well as labour costs.
  • Track repair process.
  • POS system including receiving payments from customers and insurance companies.
  • Communicate with insurance companies regarding repair status, scheduled dates and deductibles.
  • Arrange rental vehicles for customers, arrange vehicle towing and sublet services required during the repair process.

Requirements

  • 1 - 3 years Business Administrative experience or equivilant
  • Proven experience in a customer service-oriented role is preferred.
  • Excellent verbal and written communication skills in English.
  • Proficient in using computer systems and basic office equipment.
  • Ability to learn new computor programs quickly and proficiently
  • Strong organizational skills and ability to prioritize tasks effectively.
  • Attention to detail and accuracy in handling paperwork and customer information.
  • Ability to work well under pressure in a fast-paced environment.
  • Professional and friendly demeanor with exceptional interpersonal skills.
  • Punctuality and reliability are essential for this position.
  • Knowledge of collision center repairs and terminology is a plus.

Hourly Rate - $19.00 to $22.00
