Description | Executive and Office Administrative Coordinator The successful candidate will join a team of industry-leading team of professionals who are committed to Reimagining the World by Unlocking Leadership.

This new role will be based in Calgary, AB, and will work out of the companies inspiring and bright workplace in the Ampersand downtown Calgary. Due to on-site events, in-person client and team support needs, and office administrative tasks, this is an in-the-office role. Flexible hours will be available for the best-fit candidate.

Working as part of the Coordination Team, this important team member will have the following key areas of responsibility: Responsibilities Support the set-up and administration of virtual and onsite leadership development and team programs and events, including managing bookings, room set-up, traffic flow logistics, technology, catering, day-of Client and team support, material management, post-event room cleaning/resetting, etc. Manage the client and team recognition programs by coordinating recognition for meaningful milestones and events.

Ensure a well-stocked and resourced office by overseeing and tracking all orders, from office supplies to food and beverage. Greet clients and support coaches and the Leadership Team to manage the client experience from time of entry to time of departure. Process and file receipts and invoices as requested.

Manage the maintenance, cleanliness, and tidiness of company-specific office equipment (the coffee machine, maintaining the fridge, organizing of storage room, ensuring readiness and cleanliness of meeting rooms, etc.) Administer office access for the team, including management of key card requests, and other general support to Coaches at the office, as needed (IT support for meeting rooms, meeting room booking support, etc.) Administer service requests for the office (cleaning, maintenance, damages, etc.) Supports the coordination and planning of team events (celebrations, team days, charity/volunteer days, etc.) Support the implementation of company policies and guidelines as requested. Make recommendations on opportunities for continuous process improvement in the role and take the lead on implementing approved recommendations. Provide executive administrative support to the CEO and the Managing Director.

Execute other miscellaneous administrative projects as requested. Strong organizational skills with the ability to handle multiple competing priorities at any given time. Is known to take initiative and action. Doesn’t wait to be asked – sees opportunities for improvement and makes it happen.

Advanced knowledge and working ability in Microsoft Office (Outlook, Excel, PowerPoint, etc.) Is technologically savvy with high learning agility; willing and able to learn new programs and systems quickly. Qualifications Minimum 3 years working in a professional office environment. Longer tenure in a professional environment is welcomed.

Post-secondary education in Administration, Communications, Project Management, or another related field is considered an asset. Will consider candidates currently pursuing post-secondary education on a part-time basis. A customer service background is an asset; hospitality experience is preferred.

Professional working proficiency in English is required. Additional language skills are considered an asset.
