Executive Assistant

We are searching for a highly skilled Executive Assistant to provide high-level administrative support to executive leadership within a Non-Profit organization. This role requires a proactive problem solver with strong communication and interpersonal skills, capable of handling a variety of operational challenges in a dynamic environment. The ideal candidate will have experience managing multiple priorities, maintaining confidentiality, and demonstrating professionalism in all interactions.

Key Responsibilities:


  • Manage and coordinate calendars for 1-2 Executives.
  • Screen incoming calls and emails, responding or redirecting as needed.
  • Arrange travel logistics, including accommodations, transportation, and itineraries.
  • Assist in meeting preparation, including agenda coordination, research, presentation creation, and minute-taking.
  • Prepare and edit correspondence, communications, reports, and presentations.
  • Organize and coordinate departmental meetings and events.
  • Process credit card and travel expense claims for the department.
  • Maintain filing systems (electronic and paper) and ensure proper documentation storage.
  • Act as a liaison between internal departments and external stakeholders as needed.
  • Provide reception support for executive visitors.
  • Handle confidential information with discretion and professionalism.
  • Perform other administrative tasks as assigned by executive leadership.

Qualifications & Experience:

  • Diploma or degree in Business Administration or a related field, or an equivalent combination of education and experience.
  • 5-8+ years of experience in an Executive Assistant role.
  • Strong professionalism, judgment, and ability to work independently.
  • High level of discretion, tact, and diplomacy in handling sensitive matters.
  • Proficiency in Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Experience in a dynamic and evolving work environment.

Preferred Qualifications:


  • Experience working within Non-Profit organizations is an asset.
  • Appreciation and respect for cultural diversity.

Additional Requirements:

  • Valid driver’s license and access to a personal vehicle.
  • Flexibility to work occasional evenings, weekends, and overtime as needed.
  • Satisfactory criminal record check.
