We are searching for a highly skilled Executive Assistant to provide high-level administrative support to executive leadership within a Non-Profit organization. This role requires a proactive problem solver with strong communication and interpersonal skills, capable of handling a variety of operational challenges in a dynamic environment. The ideal candidate will have experience managing multiple priorities, maintaining confidentiality, and demonstrating professionalism in all interactions.
Key Responsibilities:
- Manage and coordinate calendars for 1-2 Executives.
- Screen incoming calls and emails, responding or redirecting as needed.
- Arrange travel logistics, including accommodations, transportation, and itineraries.
- Assist in meeting preparation, including agenda coordination, research, presentation creation, and minute-taking.
- Prepare and edit correspondence, communications, reports, and presentations.
- Organize and coordinate departmental meetings and events.
- Process credit card and travel expense claims for the department.
- Maintain filing systems (electronic and paper) and ensure proper documentation storage.
- Act as a liaison between internal departments and external stakeholders as needed.
- Provide reception support for executive visitors.
- Handle confidential information with discretion and professionalism.
- Perform other administrative tasks as assigned by executive leadership.
Qualifications & Experience:
- Diploma or degree in Business Administration or a related field, or an equivalent combination of education and experience.
- 5-8+ years of experience in an Executive Assistant role.
- Strong professionalism, judgment, and ability to work independently.
- High level of discretion, tact, and diplomacy in handling sensitive matters.
- Proficiency in Microsoft Office Suite.
- Excellent written and verbal communication skills.
- Experience in a dynamic and evolving work environment.
Preferred Qualifications:
- Experience working within Non-Profit organizations is an asset.
- Appreciation and respect for cultural diversity.
Additional Requirements:
- Valid driver’s license and access to a personal vehicle.
- Flexibility to work occasional evenings, weekends, and overtime as needed.
- Satisfactory criminal record check.
