The Opportunity: We’re looking for an Insurance Case Coordinator (ICC) to join our Insurance Operations team. This role requires you to perform essential duties 1-3 days per week in your assigned Aviso Office.

We are at 1111 West Georgia St, Vancouver, BC. Reporting to the Supervisor, Insurance Operations, the incumbent is responsible for handling back-office operations in line with departmental, divisional, and corporate goals and strategies for a full service Managing General Agency including new business and in-force support for advisors and their assistants The incumbent needs to have excellent oral and written communication skills as they will interact with multiple parties internally and externally (Carriers and our agency partners). Must demonstrate excellent judgment and interpersonal skills, including the ability to request changes and exceptions from insurance companies related to new business processing, where possible.

Needs to be sufficiently familiar with insurance back-office operations to understand priorities and be able to identify opportunities for service enhancement and efficiencies in our back office. You proactively encourage collaboration, build trust and inclusion, and work to establish effective relationships both inside and outside of the organization What your day looks like: New business data entry in insurance system (WealthServ), including application screening, and ordering required medicals in a timely manner.

Facilitating transfers of insurance policies between distribution channels such as MGAs and National Accounts. Ordering and canceling of agent codes for new and terminated advisors. Understanding our AGA relationship, and becoming familiar with these processes, contacts, and carrier websites Accountability to complete all necessary follow up with insurance companies from the time application is submitted to placement of policy.

Updating the insurance system to reflect status changes is an essential part of the new business function Conduct weekly follow-up for status updates on each pending file and update insurance system daily to reflect status changes and communicate these changes to appropriate parties. This includes checking policies and transfers for accuracy and handling delivery requirements where appropriate Responsible for maintaining the CIS mailboxes and upholding Service Level Standards internally and externally. Handles all status queries from advisors, assistants/coordinators, insurance companies and Regional Insurance Consultants for general inquiries; including research and problem resolution to ensure speedy results Solid understanding of the WealthServ system including Carrier Pending Feeds and in-force feeds when implemented.

Data clean up, and assisting with implementation of vendor software releases including reports and data extracts are required Requirements Your experience and skills: Post-Secondary Education, together with recognized industry and leadership certification is an asset Minimum 2 years of progressive insurance industry experience (preferred) Mid-level proficiency in Microsoft Office (Excel, Word, Outlook) and Internet; familiarity with insurance systems and websites an asset; ability to learn new software; fast and accurate typing skills (required) Solid understanding of insurance new business procedures and underwriting process from application submission to policy settlement. Familiarity with how these processes affect different types of products such as life insurance and living benefits. Familiarity with industry related feed technology and Canadian insurance data standards into WealthServ, CLIEDIS, CITS) Fluent communication skills in English are required and bilingual skills in French are an asset Strong interpersonal and communication skills with the confidence to present information to different audiences.
