SummaryJob Title: Office Executive AssistantLocation: Vancouver, BCSchedule / Terms of Employment: This is a full time (40 hours/week), permanent positionPrimary PurposeThe Office/Executive Assistant This position will work closely with the CFO and other Vancouver based executives in coordinating efforts to ensure the office is operating in an effective and efficient manner.Duties and Responsibilities• Liaise with the Tumbler Ridge office staff to coordinate certain activities• Liaise with and negotiate contracts for vendors (including office supply vendors, couriers, printers, caterers, hotels, as well as water, tea and coffee vendors)• Manage the ordering of office equipment and supply inventory including business cards, office equipment, supplies, and stationery• Manage facility needs and the maintenance of common areas• Coordinate internal office moves and set-up for new employees• Work with IT to maintain major office equipment• Organize meetings and catering needs on and off-site• Coordinate travel for corporate staff• Prepare documents and reports including expense reports• Initiate purchase requisitions on behalf of the Vancouver office• Accounting and administrative assistance to the accounting, financing, logistics and procurement teams as requiredQualifications and ExperienceA minimum of two years’ experience in an administrative positionA diploma or degree in a related field is preferredSkills and AbilitiesExcellent interpersonal as well as verbal and written communication skillsOrganized and able to multitask in a fast-paced environment with attention to detailStrong customer service focusProficient in Microsoft Word, Excel, PowerPoint, Outlook, Internet Explorer, Project and VisioNegotiating skillsA diploma or degree in a related field is preferred A minimum of two years’ experience in an Administrative position.Wage and BenefitsConuma Resources provides competitive wages and benefits.
