Position Overview

The Calgary Marketing Association is a membership-based industry association dedicated to supporting Calgary’s marketing community. The organization is guided by our incredible volunteer board of directors and boasts a highly active and engaged membership base. We have a small employee team and all assist with the overall operation as needed and understand that flexible hours are often necessary.

We are currently seeking a new President to successfully lead and manage our organization according to the strategic direction set our Executive Committee and Board of Directors.

This is a permanent position for a Calgary-Based individual working remotely from their home office.

Responsibilities

Leadership

  • Participate with the Board of Directors in developing a vision and strategic plan to guide the organization.
  • Proactively identify, assess, and inform the Board of Directors of internal and external issues that affect the organization.
  • Act as a professional advisor to the Board of Director on all aspects of the organization’s activities
  • Foster effective teamwork between the Board and the CMA Staff
  • In addition to the Chair of the Board, act as a spokesperson for the organization
  • Conduct official correspondence on behalf of the Board as appropriate and jointly with the Board when appropriate.
  • Represent the organization at events and community activities to enhance the organization’s community profile.

Operational management

  • Ensure that the operation of the association meets the expectations of its Members, Board and Partners
  • Oversee the efficient and effective day-to-day operation of the organization.
  • Ensure that all files are securely stored, and privacy/confidentiality is maintained.
  • Provide support to the Board by preparing meeting agenda and supporting materials.
  • Adhere to the roles of the President in the Bylaws including support in recruiting and onboarding board members, preparing the annual report to the members, and taking the lead with the Annual General Meeting
  • Ensure smooth functionality of all systems and software including the website, accounting system, CRM and communication tools

Program planning and management

  • Oversee the planning, implementation and evaluation of the organization’s programs and services.
  • Ensure that the programs and services offered by the organization contribute to the organization’s strategic direction and mission.
  • Monitor the day-to-day delivery of the programs and services of the organization to maintain or improve quality.
  • Oversee the planning, implementation, execution and evaluation of special projects.

Human resources planning and management

  • Determine staffing and volunteer requirements for organizational management and program delivery.
  • Oversee the implementation of the human resources policies, procedures and practices, including the development of job description for all staff.
  • Recruit, interview and select staff that have the right technical and personal abilities to help further the organization’s mission.
  • Implement a performance management process for all staff which includes monitoring the performance of staff on an ongoing basis and conducting an annual performance review.

Financial planning and management

  • Work with the Treasurer and the Board (Executive Committee) to prepare a comprehensive annual budget.
  • Work with the Board to secure adequate funding for the operation of the organization.
  • Research sponsorship opportunities, oversee the development of the sponsorship kit and sponsorship recruitment plans.
  • Approve expenditures within the authority delegated by the Bylaws.
  • Ensure that sound bookkeeping and accounting procedures are followed.
  • Input and reconcile daily transactions and prepare the books for quarterly bookkeeper and auditor when required.
  • Administer the funds of the organization according to the approved budget and monitor the monthly cash flow of the organization.
  • Provide the Board with comprehensive, regular reports on the revenues and expenditure of the organization.
  • Ensure that the organization complies with all legislation covering taxation, payroll and withholding payments including submitting tax/payroll/GST returns and annual report

Community relations/advocacy

  • Communicate with stakeholders to keep them informed of the work of the organization and to identify changes in the community served by the organization.
  • Establish good working relationships and collaborative arrangements with community groups, educational institutions, and other organizations to help achieve the goals of the organization.

Membership recruitment & engagement

  • Oversee development, planning, and management of organization’s membership initiatives, including membership application process and member retention and recruitment efforts.
  • Administers service programs for members.
  • Identify new services and develop content, scope, and cost of new programs.
  • Update member records and ensure the integrity of the membership database.
  • Implement the organization’s member recruitment and retention programs.
  • Manage new, renewing and cancelled memberships
  • Work with the Awareness Committee and communications to recruit new members
  • Chair Forum meetings, create Forum meeting programming and complete follow up tasks as required

Qualifications

  • University or College degree in marketing, management or leadership, or equivalent experience
  • Leadership and management principles as they relate to nonprofit/industry associations
  • Experience working with a Board of Directors
  • Knowledge of current community challenges and opportunities relating to the mission of the organization.
  • Outstanding organizational skills.
  • Excellent at multi-tasking and can work under stressful conditions.
  • A team player and can work effectively and harmoniously with others in different circumstances.
  • Highly flexible and can react quickly to last-minute changes.
  • Technically competent
  • Proficiency with Microsoft/Google Suite, Accounting Software, Content Management System, CRM’s
