Project Management Advisor

Our valued client, a large Oil & Gas company are seeking a Project Management Advisor to join their Calgary team on a long-term contract basis. Responsibilities: Project Delivery Management: o Identify, develop, and manage the relationship with the client and relevant stakeholders o Keen awareness of Indigenous Partnership opportunities and alignment with ESG Values/Targets o Knowledge Management Plan – centralized document management control and communication plan o Develop and manage the integrated project master schedule, progress reports, risk and mitigation logs, issue log, decision records, and communication logs to ensure the project is delivered on time, on budget, and meets scope requirements o Review and assess project plans, cost estimating, budgeting, work stream schedules, tendering strategies, and reporting, including oversight on supplier schedule and integrating into the master schedule to track and report on actual delivery dates to the planned schedule, anticipate timing issues, and identify mitigations o Work with Supply Chain to develop RFPs as required o Work with the project team to facilitate a design review that gathers functional requirements, analyzes alternatives, prepare recommendations and decision records for approval o Chair project meetings: ensure minutes are prepared and distributed in a timely fashion; record action items and ensure they are completed o Review deliverables executed by the supplier and ensure compliance o Provide detailed progress monitoring at site o Work to ensure all deliverables are coordinated prior to signoff o Work proactively and collaboratively to minimize change orders o Plan and participate in project completion activities to ensure a coordinated and timely completion with all documents filed appropriately and handed over to Operations as required and all Operations staff trained in the new building processes o Build up lookback hold points to ensure client and service providers know areas for improvement over the course of the manufacturing and delivery of Infrastructure project o Actively manage registers of lessons learned for future improvements o Plan and execute post-install client satisfaction surveys • Health, Safety, Environment (HSE) o Conduct activities in accordance to the clints Values – Protect what matters; Do it Right; Make it Better; Do it together o Ensure regulatory requirements for health, safety and environment that govern field-based infrastructure o Develop a proactive approach to contractor pre-qualifications and management systems assessments with service providers o Report on leading/lagging indicators – Manufacturing and Field Install o Deliver relevant and timely communications with project teams and stakeholders Risk Management: o Identify risks related to Scope, Time, Cost & Quality and propose appropriate risk mitigations o Work with the project team to define and implement mitigations, manage the risk/mitigation log o Plan and de-conflict with field teams to ensure all simultaneous operations (SIMOPs) and/or concurrent work hazards are addressed Invoice Control & Variance Analysis: o Work closely with the project team to ensure cost estimates, budgets, accruals, timing, and schedules are clearly understood and controlled o Accurately assess and forecast budget performance by budget year and for the entire project o Ensure billings are in accordance with contractual obligations; amounts progressed meet percent complete and invoices are received/processed to meet cash flow reporting requirements o Review and recommend for approval all project-related costs and billings, including progress payments and holdbacks based on actual work performed; including following up on internal/external claims o Review and recommend proposed contract changes and ensure information is adequate for the execution of the change Ex: (Non-Conformance Report (NCR), Management of Change (MOC) Service Provider Management: o Plan and deliver project kick-offs with service providers and impacted functions, and supporting functions (Ex: Security, HSE) o Setup service provider stewardship meetings to confirm they are all on course for completion as planned o Resolve escalated issues from within the supplier team; escalating issues as required o Ensure that all back-charges and contract delays or disputes are properly attended to, documented, and impartially resolved o Attend meetings and working sessions and ensure a communication log is maintained to capture all meetings and communications between the various team members o Provide input into progress reports, risk and mitigation logs, issues, decision records/tracking, communication logs, financial commitments holdbacks and payments due • QA/QC Program: o Develop sound quality assurance processes to monitor and control the manufacturing of infrastructure o Verify service provider quality control program for all disciplines, defining roles, responsibilities, procedures, and metrics. Qualifications: • 5 years experience managing and executing both small and large scale, multi year infrastructure projects which require the gathering of functional requirements, architectural design, engineering design, construction, manufacturing, field installations, commissioning, and handover to operations • Proven experience facilitating value engineering on designs prior to decision-makers signing off • Experience working with all third-party consultants such as design/architects, change managers, cost consultants, and engineering consultants including architectural, structural, mechanical, electrical, acoustics, and environmental • Experience working on Leadership in Energy and Environmental Design (LEED) projects • Working knowledge of regulatory requirements for health, safety, and environment that govern field-based infrastructure to ensure compliance with all regulations including building codes • Working knowledge of manufacturing and commissioning QA and QC Programs • Knowledge of both theoretical and practical aspects of project management • Able to coordinate and maintain project management framework • Working knowledge of established stage-gated process • Proven experience in people management, excelling at teamwork, facilitating decisions, and ability to establish credibility with field staff • Proven experience in strategic planning and critical thinking • Proven experience in risk management • Proficient in project management software • Proven collaborator and communicator in multi-disciplined projects; values transparency • Strong financial acumen including budget planning, accurate forecasting, tracking, and reporting • Ability to manage multiple projects concurrently • Ability to provide clear and comprehensive updates to stakeholders • Must be legally eligible to work in Canada.
