Job Summary:
We are seeking a friendly, organized, and professional Receptionist to join our team. The Receptionist will be the first point of contact for visitors, clients, and employees, ensuring a welcoming and efficient environment. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced setting. The Receptionist will support various administrative functions and contribute to maintaining a smooth day-to-day operation of the office.


Key Responsibilities:
  • Greet and welcome visitors, ensuring a positive and professional first impression.
  • Answer, screen, and direct incoming phone calls, providing appropriate responses or transferring to the relevant team member.
  • Scheduling Social Events, Trade Shows and Lunches
  • Maintain and manage the reception area, keeping it neat and organized.
  • Manage incoming and outgoing mail and packages, including courier services.
  • Schedule appointments, meetings, and conference room bookings.
  • Assist with data entry, filing, and general office administration tasks as required.
  • Maintain office supplies inventory and place orders when necessary.
  • Assist with other administrative duties and projects as requested by management.
  • Manage complex calendars for the CEO and VP, scheduling internal and external meetings, travel, and speaking engagements.
  • Prepare briefings, meeting materials, presentations, and reports in advance to ensure executives are fully informed.
  • Draft, proofread, and format correspondence, communications, and key documents on behalf of executives.
  • Handle highly confidential information with professionalism and discretion


Qualifications:
  • High school diploma or equivalent; additional certification or training in office administration is a plus.
  • Proven experience as a receptionist, administrative assistant, or in a similar role.
  • Strong verbal and written communication skills.
  • Excellent interpersonal skills and a friendly, professional demeanor.
  • Proficient in MS Office (Word, Excel, Outlook) and familiarity with office equipment (phones, printers, etc.).
  • Strong organizational and multitasking abilities with attention to detail.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • A positive attitude and a willingness to assist wherever needed.
