Position Title: Recruitment & Contract Coordinator

Location: Hybrid in Burlington, ON (3 days in-office, 2 days remote)

Hours: Full-time, Monday to Friday, 9:00 am 5:00 pm

Reporting To: Executive Partner

ROLE SUMMARY:

We are hiring a full-time, tech-savvy administrator to support the Canadian recruitment desk and enable scalable team growth. You'll directly manage the backend of contract administration, onboarding, client check-ins, and candidate communication, creating more bandwidth for the recruitment team to focus on sourcing and strategic client development.

Responsibilities:

  • Supporting client onboarding and contractor lifecycle management
  • Drafting and tracking contract proposals and renewals
  • Owning communication cadences with clients and candidates to reduce churn
  • Ensure internal stakeholders to ensure smooth handoffs and timely updates
  • Leveraging automation tools and AI (e.g. ChatGPT) to improve communication and workflow efficiency
  • Become a liaison between sourcing and sales, to ensure delivery consistency.
  • Continuous improvement current workflows to create more efficiencies to scale
  • Support with contracts, client communication and follow-ups
  • Assists with internal operations, client processes and billing tasks
  • Manage backend processes and work with cross-functional team to ensure consistency and high-end client delivery.
  • Implement and maintain automated systems for invoicing, timesheets, status updates, contract tracking and renewal
  • Optimize use of Bullhorn ATS for pipeline and compliance management
  • Delegate and implement RFP tracking processes to meet deadlines (often on Fridays)
  • Create onboarding packets and hiring documentation that reflect evolving company needs

REQUIRED QUALIFICATIONS + COMPETENCIES:

  • 2+ years of experience in recruitment coordination, contract administration, and or staffing operations
  • Experience supporting government contracts, RFPs, or regulatory documentation is a strong asset
  • Proficient in Excel, Google Suite, and ATS platforms (Bullhorn is strongly preferred)
  • Demonstrated ability to work independently and manage multiple workflows
  • You must be comfortable working with automation tools and cloud-based systems, with a willingness to learn and improve workflows over time.

COMPENSATION

  • Base Salary: $60,000 $65,000 CAD
